Groups Reservations Manager

Job Summary:  Kruger Gate Hotel is seeking a dynamic, detail-oriented, and experienced Groups Reservations Manager to oversee and manage all aspects of group bookings and tour operator relationships. This role is pivotal in ensuring the smooth handling of group reservations from initial inquiry to departure, with a strong focus on accuracy, efficiency, and client satisfaction. The successful candidate will be responsible for producing detailed reports, managing group inventory in Opera, and maintaining strong partnerships with key travel and tour operators.

Key Responsibilities:

• Group and Tour Series Reservations Management:
  
  • Manage all group bookings and ensure accurate entry of rooming lists and updates in Opera PMS.
  • Coordinate all aspects of the group reservation process, ensuring timely and professional communication with internal departments and clients.
  • Prepare and issue group quotes, contracts, confirmations, pro-forma invoices, and final invoices.

• Reporting & Analysis:
  
  • Create and analyse complex reports related to group production, booking pace, and pickup using Opera and Microsoft Excel.
  • Monitor and evaluate group revenue performance, identify trends, and propose strategies for growth and efficiency.

• STO and Tour series Contracting:
  
  • Manage STO and Tour series contracts, ensuring all contracted rates, terms, and conditions are correctly loaded and maintained in Opera.
  • Collaborate with the sales and revenue management teams to negotiate and renew tour operator agreements.

• Client Relationship Management:
  
  • Build and maintain strong, long-term relationships with key tour operators and travel agents.
  • Provide exceptional service and timely responses to inquiries, modifications, and special requests.

• Team Collaboration:
  
  • Work collaboratively within the reservations and revenue teams to ensure seamless communication and service delivery.
  • Support junior reservation staff through mentoring and training, ensuring adherence to company standards.

Requirements

• Experience & Skills:
  
  • Minimum 3 years of experience in a hotel reservations or groups management role, preferably in a luxury or safari destination.
  • Advanced knowledge of Opera PMS is essential.
  • Strong analytical and reporting skills, with proficiency in Excel and Opera reporting tools.
  • In-depth understanding of tour operator rates, STO contracting, and group sales processes.
  • Excellent communication and interpersonal skills.
  • Strong attention to detail and ability to manage multiple priorities under pressure.
